Create A Custom Tab In Office 2013 Easily

The Ribbon interface was introduced in Office 2007 but the new Office 2013 takes the Ribbon interface to the next level. Microsoft has introduced features like creating custom tab in Office 2013 in addition to the standard tabs which we get when we open any Office app.

In this article, we will create a custom Tab in Office 2013. A tab consists of ‘Groups’ and ‘Commands’. A command is a standalone function that is used to perform any task like spell and grammar check, thesaurus or word count etc.

Related commands make a group. For example, spell checker, thesaurus and word count make group named ‘Proofing’. Proofing, language, tracking, comments, changes, compare and protect groups combine together to make a ‘Review Tab‘ .

So we can conclude that different commands make a Group and different groups make a ‘Tab’. For quickly going through all the process visually, you can go through this video:

Add a Custom Tab to Ribbon Bar

Right click on the Ribbon and Select Customize Ribbon.
Or Go to File -> Options -> Customize Ribbon.
Select ‘New Tab’ under ‘Customize the Ribbon’ pane.
You will see a custom tab will be added with the name ‘New Tab’ (Custom).
Select the newly created tab and click on ‘Rename’ to give your tab a proper name.
Now, you can add groups and commands to your Custom Tab.

You can add groups to your custom tab, by:

Go to File -> Options -> Customize Ribbon.
In Customize the Ribbon pane, find your Custom Tab and select ‘New Group’.
It will create a new group in the tab.
Select Rename to label your groups and associate a symbol with them.

You can add a group from any other Tab to your Custom Tab.

Hold the ‘Group’, drag and drop into the Custom Tab.

Adding Commands to the Custom Groups

Now it is time to add commands to the custom groups. I will recommend you to select ‘All Commands’ from the drop down list of ‘Choose commands from’ so that you can browse through all the available commands. You may be surprised to see the long list of commands that you have never used before. To add a command to any group:

Select the group.

Select the command and click ‘Add’.

Similarly, you can remove any command by:

Select the command and click ‘Remove’.

You may now check that a Custom Tab has been added with your specified groups and commands.

Backup Your Custom Tabs in Office 2013

An interesting feature about ribbon customizations is that you can export your customizations as a file. You may import this file and take with you anywhere, to apply on different systems you are using. To backup your customizations:

Go to Ribbon customization -> Import/Export .
Save your file with appropriate name.

You may also import a customization file using the Import options. You will be prompted to select ‘Yes’, if you want to replace the exisiting customizations with the new file.

Remove the Customizations

When we mess up with any gadget’s settings and get stuck somewhere, we tend to ‘Restore’ it to the factory settings. Similarly, if you want to remove all the customizations at once, you can do it by a simple reset.

In the bottom of the Ribbon Customization window, you will find options related to customization.

Select Reset -> Reset all customizations.

All the customizations will be removed!

That’s it! It is really simple to create a custom tab and add your needed functions to it within seconds. I have planned to create a tab with the frequently used format, insert picture, print and review options in my tab. What are your plans for the custom tab?

Protect Word Documents From Unauthorized Editing

Microsoft Word comes with certain security features that can be used to protect the document in different ways. It includes password protecting the document, sealing it with a digital signature and making certain parts of the documents as read-only. In this article, we will discuss some ways to protect Word documents from unauthorized editing.

Password protecting the document

A very common way of protecting your documents from unauthorized user access is to restrict access to the document using a password. Microsoft understands that confidentiality of your files is important so it provides an easy way to password protect your document. Add a password but remember that if you forgot the password, your document is lost completely. There is no way to retrieve lost passwords.

To password protect a document, follow the steps below:

Go to File –> Protect Document –> Encrypt with Password.

After entering the password, when you open the document, it will ask you for a password.

Mark document as final making it read-only

If you have completed the editing and formatting of your document and you know that no further changes are to be made, you can protect it without a password. The quickest way of preventing your document from editing is to save a read-only version of it by marking it as Final. When a document is marked as final, the status property is set to ‘Final’ and typing, editing commands, and proofing marks are turned off. Mark as Final icon appears in the status bar indicating that the document is a Read-only version.

Go to File –> Protect Document –> Mark as Final

You may notice that all editing commands in the ribbon bar are now disabled.

Note that sometimes a document is displayed as read-only even when we have not marked it as Final. It is displayed because you may have opened multiple copies of a same document for editing. Windows allows you to make changes to a document from only one window at a time. That’s why the other opened versions would be Read-Only.

Restrict formatting and editing

Restrict Formatting and Editing feature lets you apply conditional restrictions. It means you can define parts of the document which can be edited and which are restricted.

Formatting Restrictions limit formatting to a selected set of styles. It lets you specify the formatting styles that you want to allow to be used in the document.

You can also add exceptions in your document. It means that if you are working in a team and you are working on a specific topic, you restrict that part for editing and the rest of the document is allowed to be edited freely.

Highlight the part of text that is to be freely edited.
In the formatting restrictions pane, go to exceptions and select ‘Everyone’.
Now, click on Start Enforcement.
Give a suitable password to your document and enforce the settings.

XPS or PDF Format

Microsoft Word 2013 comes with the ability to save a document in PDF or XPS formats. By default, PDF and XPS documents are read-only.

To save a document in XPS format, do the following:

Go to File –> Export –> Select ‘Save as XPS’

You can save the file in PDF format in the similar way.

Go to File –> Export –> Select ‘Save as PDF’.

You can select a way to protect your document from unauthorized access according to your need. If you have completely finished any document, you may want to Mark it as Final or save as PDF/XPS. If the document is not private and you want to protect a part of it, then restrict formatting and editing is the choice. In extreme cases, you can add password to the document which will limit access to the document to the ones who have the password.

Extend Office 2013 With 180 Day Trial License

If you want to test drive Microsoft Office 2013, Microsoft gives a 30 day trial for getting familiar with the suite. You can download Office 2013 here. If you are a regular reader of Technize.net, you would have read about how to use Windows 8 for 180 days while the official trial is of 30 days.

The same rearm feature that we used to extend the trial of Windows 8 can also be used for Microsoft Office 2013. This method is legal and is provided by Microsoft especially for volume license customers.

After 30 days of use, Office 2013 needs to be activated for further use. The rearm feature can be used to extend the trial further for 30 more days. You will be able to use the rearm command for 5 times making it a total of 180 days or 6 months.

We will discuss two methods of rearming and extending Office 2013 trial license.Just make sure that you are rearming on the last day before your trial expires. This is to make sure that you get full 180 days trial. Otherwise, if you are rearming in the middle of the trial, it will add another 30 days to the trial. For example, if you rearm on the 15th day, it will extend the trial for the next 30 days making your trial 45 days long and not 60 days.

Rearm Office 2013 manually

To extend the Office 2013 trial, follow the steps below.

Make sure all Office 2013 applications are closed.
Open command prompt with elevated privileges (Windows Key + X + A)
Go to the following folder:
32-bit Office installation = C:\Program Files(x86)\Microsoft Office\Office 15
64-bit Office installation = C:\Program Files\Microsoft Office\Office 15
After you reach the above folder, run the following command: ospprearm
If the rearm is successful, the following message will be displayed:
“Microsoft Office rearm successful."

You will need to repeat this process on the 30th day of trial period. For more information about rearming, you can visit the Technet article about deploying volume activation of Office 2013.

Office Trial Extender is a tool which can be used to automate the rearming process. You can schedule it to run after every 29 or 30 days to extend the trial to the next 30 days.

Office Trial Extender is very easy to use. You can download it from the following location and install it on your computer. Unfortunately there is no portable edition of the program.

There are only two buttons on the Office Trial Extender, one for rearming Office 2010 and the other for rearming Office 2013. Clicking on the appropriate button will rearm the Office installation automatically.

The only thing you need to be careful about is the installation of Office Trial Extender. The setup comes with extra software installations which need to be avoided by declining their license agreements.

How To Be More Productive Using Microsoft OneNote 2013

Are you the one who is habitual of using sticky notes or keeping a pocket diary where you can note down all the important points while studying, write down meeting timings, tasks to do or other random thoughts and information? Are you looking for a tool that allows you to note down all related stuff while working on your PC?

OneNote is a tool that gathers all your information and notes in the form of organized ‘Notebooks’. This notebook is like a physical diary where you can make different sections.

OneNote 2013 is more like a brain processor where you can dump every plan and thought you are thinking of. It can serve as an important asset for you if you learn how to use and manage your data using OneNote. It can also serve as a brainstorming tool.

Let us start with a sample Notebook and explore the possibilities. You can either add a new notebook or choose from the available template notebooks. You can start with Personal or Work notebooks to help you manage your daily routine or work related notes. Click on the drop down arrow and select Personal Notebook.

Click on the ~ez_lsquo+ez_rsquo~ button next to the ‘Quick Notes’ to add different sections in your notebook. You can add as many sections as you want and customize them.

Protect Your Notebooks

Every one of us does not own a personal computer or laptop but each of us want privacy for his/her documents especially your personal notebook which has everything that you may have in your mind. Encrypt your notebooks and prevent them from unauthorized persons by adding a password. To password protect any section:

Right click on the section and select ‘Password Protect this Section’.

If you want to apply this password to all the sections of your notebook then press ‘CTRL+ALT+L’ (L is for the lock). Another way is to go to Review tab -> Password, and a panel will appear containing different options related to password protection.

Add Pages

Adding a page is really simple. All you need to do is to go into the section and find the ‘Add Page’ option in the right side panel. Click on it and give your page a proper title. Office offers a collection of Page Templates. Go to insert tab-page template. Or go to the online template library.

Merge Sections

You can copy or merge different sections of even different notebooks. Let’s say you want to merge ‘To Do’ section from personal notebook to ‘Project 2’ of work notebook;

Right click on ‘To do’ section -> Select ‘Merge into Another Section’.

A window will appear that has all your notebooks. Select your required notebook and specific section to merge them. You can merge two sections at a time.

Import Data into Notebook

Organize your data by inserting tables in your notebooks or add spreadsheets. Let’s assume that you want to import an excel spreadsheet containing expense and their details of Project Italy in your Work Notebook. To do so:

Click Insert -> Spreadsheet -> Existing Excel Spreadsheet and find it.
Inserting pictures is a traditional option available but you can also insert one or more files in the notebook.
Click Insert -> File Attachment -> Insert your required files.
Link up different sections and pages of your notebook so that you don’t need to open different notebooks when you need them.
Go to Insert -> Link -> Link any web address or file.
However, you can import audio or video but can only record them at the instant.

Tag Pages and Sections

Tagging is very helpful when you have a large number of documents. You can search pages and sections with specific tags as to do, important, question, idea, critical etc. There are many predefined tags, but you can also customize tags according to your needs.

Go to Home Tab-> Tags -> Select from the Tag Menu.
To add new tag, go to the bottom of the Tag Menu and click ‘Customize Tag’.
Add or modify a tag.
Similarly, you can also search all notebooks with a specific tag.
Go to Home Tab -> Tags -> Find a Tag.

The Clipping Tool

Sometimes we need to take a screenshot of our work and make notes accordingly. You can not do this in Word 2013 rather you would be installing any snipping tool to capture your work. But the OneNote 2013, comes with a built-in clipping tool that would spare you from installing any other software.

Go to View -> Clipping Panel -> Clipping Tool.
Capture screen and insert it in your pages. You can also capture screen-shots using insert tab.

While working and researching on the Internet we often wish to note down several points. You may either use a paper and paper or copy-paste information into a separate word file. But if you are using OneNote 2013, you are blessed with a smarter option — Dock to Desktop.

Go to View -> Dock to desktop and OneNote will be appeared at the right of your desktop.
You can now easily take notes while surfing on the web or reading any research paper.

Make a Business Calendar with Microsoft Word 2013

Have you ever thought of making a business calendar using Microsoft Word 2013? Basically, Microsoft Word is a word-processing program that is used to create professional documents. However, Microsoft has improved Word over decades and the latest improvement equips it with a variety of built-in templates. These templates have taken Word 2013 to a new level. Now you can make flyer, invitation cards, business calendars, memos and a lot more using these templates. Let’s make a business calendar with Word 2013.

Go to Start -> All Programs -> Microsoft Word 2013

File -> New

The New option consists of a variety of templates. Scroll down a little to see the ‘Business Calendar’ template.

Or type ‘Calendar’ in the search bar to visit the collection specific to calendars. You can filter the search results by different categories like weekly, monthly, annually, business, academic year or etc.

Select the one that best suits your need.

You will see that the formatting options of title, heading and sub-headings in the home tab have now been replaced with date, days, month, tagline, normal, year and headings.

Customizing the calendar

Add Logo

Click on the image and replace it with your logo image. You may need to add reflections, shadows or 3-D effects to your logo. You can also add various artistic effects to make it visually more appealing. Right click on the image and select Format Picture.

Add a Tagline

Place your cursor in the ‘2013’. You can replace it with a tagline, month, day, date, or heading style by selecting the one from Home Tab.

Highlight Months

Every month in the calendar is an independent table. You can intelligently use this characteristic to relate different months of a year. For example, use the table with green grid in the months of June, September and December which represent that your sales increases in these months. Similarly, use another color to represent the productivity months. By doing this, you will have a more understanding of your annual business plan and its execution.

Add Tasks

Since, Microsoft Word is a word processing program that enables creating professional documents easily so we should not expect it to behave like a project management tool. There is no concept of tasks in it, rather you can add tasks to any date by adding a ‘New Comment’ to it.

Move the cursor to the date.
Date will be highlighted. Right click on it to see the context menu.
Select ‘New Comment’.
Make a comment.

You can add a long list of tasks (or comments) to your calendar and all of them will be lined up in the Markup Area. Click on any comment and you will see that the comment will be displayed inside the box and that box will link you to the date.

Add Multiple Tasks To One Date

You can add multiple tasks to one date by following the same procedure of select date -> right-click -> new comment. However, it will become difficult for you to keep a track of all tasks associated to one date. So, a better option will be to add them as sub-tasks of one main task.

Select the task already added.
Right click -> New Comment.
Type the Task.

Mark Tasks As Done

It is important to mark tasks that have been completed on time. Usually, we put a tick on our calendars to show a task as completed. We can also mark completed tasks on our virtual calendar.

These comments will now appear in dull colors to distinguish them from the uncompleted tasks

Unfortunately, there is no feature in Word 2013 to mark any comment as important. But, in real world some tasks are more important and they need to be distinguished from the unimportant ones. So, we will highlight the tasks to serve this purpose.

Select the task already added.
Right click -> Formatting bar -> Highlight the text.

In a professional environment, a single document is often passed to different people. Your co-workers may schedule any task in the calendar. It seems difficult to keep track of who has made what changes in the document. Our difficulty is easily tackled by the Microsoft Word 2013 as it specifies the name of author along with the comment.

Right click on the author image in the comment.
Select ‘See Contact Card’ to view details.

Delete Tasks

Select the task already added.
Right click -> Delete Comment.
Type the Task.

Enter Company URL

Double click and type the web address of your company in the ‘footer’.

Save your calendar and share it with your co-workers.

If you go to Google and search for “Office 2013 activator”, you will be greeted with Youtube videos with similar titles like the following:

This is very similar to fake Windows 8 Product Key generators which surfaced after Windows 8 was released. When you encounter a Youtube video or a webpage claiming that they have the Office 2013 activator which is working 100%, make sure that you do not get into their trap of installing malicious software on your computer.

First of all, don’t get into completing surveys just for getting the download link for Office 2013 activator and secondly, don’t download or run any seemingly innocent activator or product key generator on your computer. This may harm your computer without getting into your knowledge.

We highly recommend that you should always use legitimate software which are free from viruses and Trojans. A steps towards the wrong direction can cause problems for your computer especially when you have important data saved in it. You can always buy Office 2013 to be safer or use a free alternative like LibreOffice. Otherwise, go for a subscription based solution like Office 365.

Office 2013 comes for both 32-bit and 64-bit systems. It comes with a touch friendly interface meaning that it will be usable on tablet PCs. Here is the complete requirement set of Office 2013 RTM:

A computer with 1Ghz or faster processor

1 GB memory

3 GB hard drive space

.NET Framework 3.5, 4.0 or 4.5

It can run on Windows 7, Windows 8, Windows 2008 R2 or Windows Server 2012.

Here is a note from Microsoft about these system requirements:

System requirements are rounded up to the nearest 0.5 GB, to be conservative. For example, if we measure an application’s required hard disk space to be 1.99 GB, we recommend 2.5 GB of disk space. Our hard disk system requirements are intentionally larger than the actual disk space usage of the software.

A graphics processor helps increase the performance of certain features, such as drawing tables in Excel 2013 or transitions, animations, and video integration in PowerPoint 2013. Use of a graphics processor with Office 2013 requires a Microsoft DirectX 10-compliant graphics processor that has 64 MB of video memory. These processors were widely available in 2007. Most computers that are available today include a graphics processor that meets or exceeds this standard. However, if you or your users do not have a graphics processor, you can still run Office 2013.

How To Open the IMG files and run the setup?

All these links will download the IMG files instead of the EXE files. You will need to extract the IMG file and then run the setup.exe from the extracted files. To extract the files, I have used WinRAR which can be downloaded from here (32 bit, 64 bit). Although WinRAR is not free, you can run the trial version forever without paying anything. If you are not comfortable with WinRAR, you can always use free archiving programs like 7-zip.

But if you don’t want to convert the whole installation into another language but only want features like fonts, spell checking, translations etc.. of an additional language, you will need Office 2013 proofing tools.

Installation instructions

Download the proofing tool file from above direct download links.
Run the setup program.
On the Read the Microsoft Software License Terms page, review the terms, select the “Click here to accept the Microsoft Software License Terms” check box, and then click Continue.
The setup wizard runs and installs the proofing tools.
After the installation has completed, restart your open Office applications.

Uninstalling Office 2013 language proofing tools

Go to Programs and Features under Control Panel in Windows 8.
In the list of currently installed programs, select Microsoft Office Proofing Tools 2013 Preview – [Language] and then click Uninstall, Remove, or Add/Remove. If a dialog box appears, follow the instructions to remove the program.
Click Yes or OK to confirm that you want to remove the program.

Please note that Office 2013 proofing tools and Office 2013 language packs are the same thing. Some proofing tools will also contain language help files and interface changes which you can configure in the language preferences tool discussed above.
